Outlook Tasks Vs To Do

Good bye Wunderlist, Hello Microsoft To-Do.

Microsoft To-Do is a brand new task management app from the Wunderlist and Office teams. It's straightforward, with lists of tasks and a clear button to check them off. Add tasks quickly—just tap Add a to-do, type in your task, press Enter, and immediately start typing in your next task to quickly fill out your list. Drag tasks to the order you want, or make a new list and drag tasks there to organize them. (quote from Zapier blog, awesome, as usual)

Microsoft To Do replaced Wunderlist—an app that Microsoft acquired—and has worked its way in to replacing the tasks section of Outlook, which is notable considering that “app” has been around for decades. To Do tracks personal tasks in lists and groups managed by you, the user. To work on individual tasks, or share lists, start with To Do. Work on an individual task. In To Do, select + Add a task to add a task directly in To Do. In Outlook, select the flag, to have that email show up as a task in the Flagged email list. In Outlook, select the task, select Remind me, and select an option. The task will appear in the Planned list and in Outlook for the web in the My Day pane.

How To Use Outlook Tasks Effectively

Unfortunately, there is no macOS, iPad and Apple Watch apps, but hopefully it's going to be released soon.

On the other hand, there is Microsoft Outlook and its tasks.

Many people keep a list of things to do — on paper, in a spreadsheet, or by using a combination of paper and electronic methods. In Outlook, you can combine your various lists into one list, enhanced with reminders and tracking (source).

…For small projects, freelancers, or teams of one or two, Outlook has the essential features needed to succeed in any undersized situation. Here are just a few of the basic features it contains:

Microsoft task/list applications: Lists vs. To-Do vs. Planner vs. Tasks

Recent announcements with Microsoft’s task-oriented applications have left many of our customers left to wonder:

Tasks

Using Tasks In Outlook 2016

  • When do I use which Microsoft task application?
  • What is the use-case for each?
  • How do they work together?

Below is a breakdown:

  • Microsoft Lists:
    • Meant to be the next evolution of SharePoint Tasks Lists
    • For Work Management, work tracking
    • Create, share, and track structured information with the ability to create, collect, view, filter, sort, collaborate, share, etc. across status, life cycle, ownership, etc.
    • Builds on the value of SharePoint lists to help users track and prioritize content calendars, contact lists, issue tracking, inventory, contract renewals, event itineraries, ticket submission, status reporting, employee on boarding, business trip approvals, deal milestones, roadmaps, FAQ’s, spend, KPI’s, patient rounding in healthcare, and more
    • Can further integrate with the Power Platform to design and build productivity apps alongside Power Apps (custom forms) and Power Automate (custom flows)
    • Think of Lists then as the underlying database for IW-led ‘productivity apps’
  • Microsoft To-Do:
    • Task management for individuals, their view on tasks
    • Includes tasks assigned to them
  • Microsoft Planner:
    • Task management for the team
    • In Teams, Planner will now be viewed through the ‘Microsoft Tasks’ app starting August 2020
  • Microsoft Tasks:
    • Aggregates all the Microsoft 365 task applications into a single comprehensive view
    • Task management app within Teams to help user manage and prioritize their work generated, aggregated tasks from across Microsoft’s portfolio of productivity and collaboration tools
    • Aggregated tasks can come from Microsoft Lists, To-Do, Planner, e-mails, chats, Office Docs, Outlook, Cortana, Launcher, Word, and soon Excel/PowerPoint (late 2020)
